Standard Booking Terms and Conditions

Reef View, Palm Bungalows, Beach Club and qualia

Deposit

  • A deposit equivalent to 20% of the total booking value is required at time of booking
  • This deposit is refundable up until 14 days prior to arrival date
  • Full payment is required at the time of booking if travel is within 7 days of arrival date
  • A 3% fee for AMEX only applies and is non-refundable

Final Payment

  • The final balance of your accommodation is required no later than 7 days prior to arrival date
  • Final balance payments are automatically processed on the nominated credit card provided at the time of booking 
  • Final balance payments not received by 7 days prior to arrival date may result in cancellation of the reservation
  • To pre-pay your final payment via an alternative method, please contact Hamilton Island Holidays on 1800 370 800
  • A 3% fee for AMEX only applies and is non-refundable

Cancellation

  • Cancellations and amendments received outside 14 days of arrival date will not incur a cancellation fee
  • Cancellations and amendments received within 14-8 days of arrival date will be subject to a cancellation fee of 20% of the total booking value
  • Cancellations and amendments received within 7 days of arrival date, ‘No Shows’ and/or ‘Early Departures’ will be subject to a cancellation fee of 100% of the total booking value
  • Notice of any cancellation, amendment or reduction in reserved rooms must be provided in writing to Hamilton Island Holidays on vacations@hamiltonisland.com.au
    • Alternatively, if you have booked online via our website and have not yet reached your cancellation deadline, you may cancel online here
    • If you have booked through a travel agent or Online Travel Agent, please contact them directly to make changes to your booking
  • AMEX fees are non-refundable

Our COVID-19  Booking Conditions

If you have booked a holiday direct with Hamilton Island Holidays, and your travel is impacted by an interstate Queensland border closure or intrastate travel restrictions, please see the below for our terms and conditions related to your travel. If you have booked through a travel agent, online travel agent such as Expedia or independent accommodation provider you will need to get in contact with them directly as they may have different terms and conditions.  

  • If you live interstate:
    • and have paid your final balance while the Queensland border is closed to your State, if the border closure remains in place over your travel dates, the Standard, Race Week or Festive Season Cancellation Policy will apply
    • and have paid your final balance while the Queensland border is open to your State, if there is a sudden Queensland border closure after your final balance payment, we will amend your travel dates without penalty.
  • If you live in Queensland:
    • and have paid your final balance while there are Queensland intrastate travel restrictions in place, if these travel restrictions remains in place over your travel dates, the Standard, Race Week or Festive Season Cancellation Policy will apply
    • and have paid your final balance while there are no Queensland intrastate travel restrictions in place, if there is a sudden introduction of intrastate travel restrictions after your final balance payment, we will amend your travel dates without penalty.

Our COVID-19 Health Instructions

As a small and remote island community that cares about the health and safety of our residents, staff and guests, we sincerely ask that you follow these health instructions before travelling to Hamilton Island.  
 
We are sorry if any of the below situations impact you. If you have booked directly with Hamilton Island Holidays, we will change your travel dates with no penalty. If you have booked through a travel agent, online travel agent such as Expedia or independent accommodation provider you will need to get in contact with them directly as they may have different terms and conditions.  

  • If you have recently become unwell with flu-like symptoms, please get tested immediately and wait until you receive your negative result before travelling to Hamilton Island. If you need to delay your trip for this, we will make every effort to find new dates as close to your original dates of travel as possible.
  • If you test positive to COVID-19 in the 14 days prior to travel, please do not travel to Hamilton Island. Please ensure that you and any other members in your household are tested and return a negative result before you travel.  Written documentation will need to be provided as evidence.
  • If you reside in or have recently visited a site that has been declared a COVID-19 hotspot, you cannot travel to Queensland. Please make sure to check the Queensland Health website regularly for updates on COVID-19 declared hotspots. Please note that you are required to complete a Queensland Entry Pass before travelling to Queensland and we have Queensland Police at the Hamilton Island Airport checking Entry Passes. If you have travelled from a COVID-19 hotspot you will be required to return home immediately or you will be moved to government arranged quarantine accommodation for 14 days at your own expense.
  • If you have visited a Queensland Interstate Exposure Venue, or if you have been deemed a close contact of someone with COVID-19 and are required to go into isolation, please do not travel to Hamilton Island for 14 days. Please ensure that you and any other members in your household are tested and return a negative result before you travel.

If you need to change your travel dates for any of the above reasons, please call our Reservations team on 137 333 between 8.30am - 5.00pm Monday - Fridays or 9.00am - 3.00pm Saturdays. Please note: For Holiday Homes, any change to travel dates must be for the same property.
